District Registrar
Job Summary:
The District Registrar is responsible for maintaining student records and processing enrollment, transfers, and withdrawals from the district. The District Registrar works independently to perform all functions necessary to maintain an efficient and organized office in a professional and confidential manner.
Qualifications:
High School Diploma or equivalent
At least three (3) years experience in customer service
Expert knowledge of Microsoft Office products and Google Suites
Evaluation:
The performance will be evaluated at least annually by the Director of Technology.

Terms of Employment:
This is a 12-month non-union IMRF position with an hourly range of $18.00-22.00, as established by the Board of Education.
Compensation and Benefits:
The compensation package for non-union positions includes comprehensive medical, dental, and vision insurance and a $50,000 term life insurance policy. Employees are eligible for paid vacation days based on their length of employment, and holidays are provided per district policy. Full-time employees receive two paid personal leave days per year. Tuition reimbursement is available after the successful completion of the first year.

Duties and Responsibilities:
- Maintains various files, documents, and student records to document and provide reliable information relative to student records.
- Performs enrollment and withdrawal activities (to include residency verification) on the automated student information system and prepares and maintains permanent student records and cumulative folders for all students to ensure compliance with financial, legal, state, or federal requirements.
- Performs all registration duties for new students, including processing paperwork, handling records requests, and communicating essential information to the appropriate department.
- Processes, in collaboration with the High School, requests from students, other districts, colleges, universities, and employment agencies (e.g., transcripts, job verification, etc.) to provide the required information.
- Provides training for other employees pertaining to student records.
- Supports Data Management Specialist in maintaining data related to the District, Federal, and State agencies, completing required ISBE reports including, but not limited to, Year-End Collection, Homeless entry, Early Childhood Outcomes, Regional Safe Data, and fee collections.
- Assists annually in organizing and implementing district-wide registration.
- Collaborates with administration to organize and implement on-site registration events as needed. Assign student identification numbers.
- Maintains student fee payments, fee waivers, and student fee assignments. Assists families regarding student fees. Focuses on customer service, creating a positive climate of respect and trust.
- Maintains strong communication with employees.
- Receives and responds to emails, written correspondence, and telephone inquiries in a timely manner.
- Researches and stays current on regulations, policies, and procedures that pertain to student records.
- Assists other colleagues in the Central Administrative Center.
- Participates in administrative training and meetings, staff meetings, District committees, seminars, conferences, etc.
- Ensures all confidentiality of records and information.
- Performs other duties and responsibilities as assigned.

Physical Demands:
The physical demands of this position include frequent sitting and standing for extended periods of time. Employees may reach overhead, above the shoulders, horizontally, and occasionally move or lift items up to 50 pounds. Regular attendance on the job is expected.
